Winter Closing Information

 

WHEN DEPARTING FOR BREAK:

APARTMENT RESIDENTS:  You may remain in your apartment over the winter break.  All University housing policies will be in effect and enforced by the RSOs and staff during holiday breaks.  All apartment residents are highly encouraged to complete the online Security FormThe Security Form will take just a few minutes to complete and helps us to know who’s staying for any part of the break in case of emergencies.  Please complete the Security Form by December 19 on the Undergraduate Housing Portal.  Login and click on the “2018 Winter Break Stay (Apartments Only)” link.  Complete the form.

RESIDENTIAL HALL RESIDENTS:  The Residential Halls will close promptly at 12:00pm on Sunday, December 16th.  Your keycard building access will be turned off at this time.  You will not be able to return to your room until 12:00 pm on Saturday, January 5, 2019.  PLEASE PLAN ACCORDINGLY.  Before you leave, lock all windows and doors, unplug any non-essential electrical items, and take any important items with you (i.e., medication, passport, plane tickets, laptop and chargers, etc.). You will not have access to your any belongings remaining in your room over the break.

The Residential Life staff will be conducting room-by-room inspections to ensure that all rooms and windows are secure and that there are no potential safety hazards.  They will also be looking for misplaced common area lounge furniture.  Closed drawers and closets will not be inspected but any visible violations of policy will be documented and referred for misconduct follow-up.  Anyone found in the Residential Halls during closure will be referred to the student conduct process.

CONTRACT TERMINATION REQUESTS: All residents who wish to apply for a contract termination must have all paperwork, documentation, and appointments completed by 4pm Friday, December 7th.  Contract terminations are usually considered only for the following reasons: transfer to a different school or withdrawal from UCSD, graduation, marriage, extenuating financial difficulty, or health-related issues.  Additional documents in support of your case must be submitted at the time of your contract termination application.  If you are interested in a Contract Termination, please pick up an application now from the Warren Residential Life Office.  If a contract termination is approved by HDH, your move-out must be completed by 12:00pm on Sunday, December 16th.  Contract termination requests due to roommate difficulty will not be accepted or approved; however, we will assist in mediating the conflict(s) or concerns.  Review the contract termination policy on section 7 of your housing contract at: sample-housing-contract-2018-19.pdf

CUSTODIAL SERVICES:  The last day of custodial service will be December 21, 2018.  Cleaning will resume on January 7, 2019.  For any custodial emergencies, please call 858-534-2600.

EMERGENCY COUNSELING:  The holiday period can sometimes be a stressful time.  If emergency Counseling and Psychological Services (CAPS) is needed, please call 858-534-3755 to set up an appointment.  If emergency counseling is needed after hours, call 858-534-3755 to reach their Crisis Counseling Hotline 24/7.  For business hours and further information, visit the CAPS website at http://psychservices.ucsd.edu.

LOCK OUTS:  Apartment residents should come to the Residential Life Office during our normal business hours. Lock outs will still be available in the evening when the office is closed through campus police during the campus closure, December 21 through January 1st.  The UCSD Police Department can be reached at 858-534-4357.

MAIL:  Mail delivery will be limited over the Winter Break.  If your box becomes too full, additional mail will be held at Central Mail Services until you return.  Mail will NOT be forwarded over the holidays.  Please notify vendors of your address over the break if you are expecting important packages and bills.  The parcel centers will close at the end of the day on December 14, 2018 through January 7, 2019.  However, you will still have access to the Amazon lockers if you choose this delivery method for your Amazon parcels.

MAINTENANCE:  If you have any emergency maintenance needs at any time during the break, please call the HDH Customer Service Center at 858-534-2600.  Any other maintenance needs should be submitted online as a Fix-It request at hdhfixit.ucsd.edu.

QUIET HOURS:  During Finals Week, 24-hour quiet hours are required and strictly enforced.  QUIET HOURS BEGIN Friday, December 7th at 11:59pm and do not end until Sunday, December 16th at 11:59pm.  See your RA for details.  Remember that other students may have exams after you have finished yours.  Please be considerate of your fellow students.  The J. Kevin Wood Lounge will open as a 24-hour quiet study lounge beginning week 10 on Monday, December 3th at 8:00am through Sunday, December 16th at 1:00am. 

PARKING:  Parking will be enforced in all lots, except during University closure dates of December 25th through January 1st, 2019. 

As a reminder, please do not park or idle in the Equality Lane cul-de-sac.  We are seeing an increase of people parking there who are waiting to pick up someone.  This is making it difficult for delivery trucks to get into or out of the cul-de-sac.  Parking officers will be enforcing these no parking areas.  An option for you (or persons waiting for you) is a 20 minute parking spot in Justice or Equality lane.

RAIN ALERT: There is significant rain in the forecast over the winter break.  If you see any leaks in your living space, please call Customer Service as soon as possible at 858-534-2600.

TRASH/FOOD:  Remember to clean and empty your garbage before you depart.  This will keep you from returning to a smelly, bug-infested apartment.  Dispose of your trash in the dumpsters, either at the end of Justice Lane or Equality Lane.  Return all Canyon Vista plates, dishes, silverware, trays, etc. prior to leaving for break.

WINDOWS AND DOORS:  Lock all windows and doors upon departure.  In the past, storms caused water damage to rooms where windows were left unlocked.  First floor apartments are encouraged to use the "door stick" for sliding glass doors.  The University is not responsible for stolen articles.  Even though the RSOs will be making rounds, it is a good idea to secure your unit and take any valuables home with you.

Looking Ahead

ROOM SELECTION COMING SOON:  Can you believe it is already time to think about housing for the NEXT academic year?  Now is the time to begin thinking about possible choices for roommates.  You will need to apply for housing early Spring Quarter.  Please watch for advertisements from HDH. 

JUNE MOVE OUT DEADLINE: Residents must vacate their room no later than 6:00pm, Saturday, June 15, 2019.  Please plan accordingly.

Wed., 12/19                 Reminder for apartment residents to complete the online Security Form by 12/19/18.

Fri., 12/14                    Canyon Vista Restaurant will be open from 7:00am – 9:00pm (closed Saturday and Sunday.)                                          CV will re-open at 4:00pm, Sunday, January 6th.

                                    Parcel Centers will close today and will reopen Monday, January 7th.

Sat., 12/15                   Earls Place will be open 7:00am – 9:00pm (closed Sunday, 12/16)

Sun., 12/16, 12:00pm   The Residential Halls must be vacated.  Students living in the Residential Halls will not be                                               able to re-enter until Saturday, 1/5/2019 at 12:00 pm.  Students living in the apartments may                                           stay in their apartments over the break, but need to complete the online security form by                                                 12/19 at 4:30pm.
